Position Title:Administrative Assistant
Reports To:Program Director CASA and Transitions

Primary Objectives of Position

The employee in this class is responsible for providing clerical and administrative support to the Program Director.

Essential Duties and Responsibilities

  • Performs confidential secretarial duties and corresponds with volunteers, Program Director, Case Manager, court personnel, businesses, agencies, clients, citizens, and others in the community regarding CASA/ Transitions information
  • Types letters, reports, memorandums, appointment letters, press releases, and other materials from copy, rough draft, and other sources and distributes to all the appropriate parties
  • Collects, organizes, and prepares data and statistics for a variety of forms, reports, records, and applications
  • Makes copies of files, reports, and letters and assembles to give to Program Director, Case Manager, volunteers, court personnel, attorneys, and other agencies when appropriate
  • Notifies volunteers, attorneys, and other individuals of required court hearings, meetings, and reports by either and/or mail, telephone, or computer
  • Schedules and arranges for calendar appointments, conferences, reservations and meetings
  • Provides information and applications to prospective new volunteers
  • Schedules new volunteer interviews
  • Confirms dates of in-service and CASA training and sends out information regarding this information
  • Types and mails CASA / Transitions notices to volunteers, court personnel, and other designated individuals
  • Mails Department of Social Services reports and court orders to CASA volunteers
  • Prepares, types, and keeps updated background information and files on all volunteers
  • Calls, mails, and sends Progress Report and Family Support Team reminders to CASA volunteers
  • Schedules and conducts parental intake interviews for Transition visits and exchange

Required Knowledge, Skills, and Abilities

  • Ability to maintain cooperative relationships with those contacted in the course of the work activities
  • Skills in reading, writing, and basic math
  • Knowledge of legal terminology, court systems, and legal procedures
  • Ability to use correct grammar, spelling, and punctuation
  • Ability to effectively prioritize and manage own work schedule
  • Knowledge of supervisory skills
  • Ability to handle multiple tasks simultaneously
  • Knowledge of modern office practices and procedures
  • Ability to communicate verbally and in writing
  • Ability to maintain records, files, and reports
  • Ability to make independent judgments and to follow oral/written instructions correctly
  • Demonstrates professional appearance, punctuality, dependability, responsibility, ethical behavior, positive behavior, flexibility, and adaptability
  • Knowledge and experience with Microsoft office package
  • Ability to handle verbal confrontations with clients

Environmental Demands

Most work is performed in a modern office setting

Minimum Qualifications

  • Excellent written and oral communication skills
  • Typing ability (word processor and computer skills)
  • Ability to interact positively with the public, volunteers, Program Director, Case Manager, and the court
  • Ability to maintain statistical program data, files, and record systems
  • Two years of college or equivalent combination of education and experience

ADA / Physical Demands

  • Vision must be adequate for data entry and retrieval
  • Hearing must be adequate for conversations and telephone use
  • Ability to physically perform the essential duties and responsibilities of this position

Salary: $12.91-14.50 hourly; eligible for certain benefits

Hours: 24 hours/week; Monday-Wednesday; 8:00am – 5:00 pm
